Administrative Assistant - Alumni Marketing Associates LLP

Alumni Marketing Associates LLP is currently seeking to employ an Administrative Assistant to assist this unique and growing project management and marketing firm associated with the University of Texas at Austin. The firm is located on Spring Valley, near the North Dallas Toll Road.

The firm’s current AA has resigned in order to pursue academic objectives on a full time basis. In the event a qualified prospective applicant for the position would prefer to limit the work week to 25-30 hours, at a shared position might be negotiated and structured.

As the full time or part time Administrative Assistant at Alumni Marketing Associates LLP, you will schedule appointments, give information to callers, take dictation and relieve managers/partners of clerical work and minor administrative and business detail by performing the following duties:

  • Operate multi-line phone system to answer incoming calls, answer questions and direct callers to appropriate managers.
  • Greet scheduled visitors.
  • Help ensure the efficient operation of the managing team.
  • Provide word processing and other document preparation with proficiency in Microsoft word, excel, powerpoint and outlook.
  • Organize and maintain file system.
  • Coordinate Managing Partners schedule and make appointments.
  • Compile word documents and type statistical data for upcoming meetings.
  • Assist with projects and other general office tasks as needed.
  • Order and maintain office supplies and arrange equipment maintenance.
  • Coordinate travel and meeting arrangements for firm partners.
